Information to record

Use these prompts to agree the record for your project. Keep the answers and their source references together; leave an unknown value explicit rather than filling it with an assumption.

Project code
Distinguish files from different sites.
Tree ID
Match the photograph to the register.
Visit date
Identify the dated evidence set.
Image sequence
Separate several views of the same tree.
Original reference
Preserve any earlier camera or source name.

Checks for this task

  1. Check that two devices cannot silently create the same final name.
  2. Retain a rename map when changing an existing evidence set.
  3. Confirm report references use the issued file names.

A worked example

Illustrative example, not a client case: Two images of T016 receive different sequence numbers under the same dated visit. A rename log retains the camera names, so an earlier note can still be traced to the correct source image.

Scope and limits

A file name alone does not prove date, ownership or authenticity; retain the supporting project record.

Use the worksheet

The download contains the prompts and checks above with space for your project notes. It is a plain text document you can edit in a text editor or copy into your project brief. It contains no client information and does not run calculations, import records or change an account.
