Information to record
Use these prompts to agree the record for your project. Keep the answers and their source references together; leave an unknown value explicit rather than filling it with an assumption.
- Area allocation
- Assign site sections and their boundaries.
- ID convention
- State how new identifiers are allocated.
- Check-in arrangement
- Agree when progress and issues are reviewed.
- Conflict record
- List overlapping or inconsistent entries.
- Merge review
- Identify who confirms the reconciled dataset.
Checks for this task
- Check boundary interfaces between assigned areas.
- Do not silently choose one conflicting observation without review.
- Verify shared updates using the actual authorised accounts and devices.
A worked example
Illustrative example, not a client case: Two recorders cover adjacent gardens. Their coordinator reviews trees near the interface and resolves a duplicated entry with the source photographs, keeping the correction note with the final schedule.
Scope and limits
Coordination prompts do not guarantee sync behaviour; test the supported workflow before live team use.
Use the worksheet
The download contains the prompts and checks above with space for your project notes. It is a plain text document you can edit in a text editor or copy into your project brief. It contains no client information and does not run calculations, import records or change an account.
