Information to record

Use these prompts to agree the record for your project. Keep the answers and their source references together; leave an unknown value explicit rather than filling it with an assumption.

Candidate IDs
List the records being compared.
Site context
Confirm they refer to the same survey area.
Location evidence
Compare map and location notes.
Photo evidence
Check recognisable features and view dates.
Review decision
Record the outcome and responsible reviewer.

Checks for this task

  1. Preserve a copy of the source dataset before changes.
  2. Do not merge trees merely because their coordinates are close.
  3. Retain the relationship between earlier IDs and any corrected record.

A worked example

Illustrative example, not a client case: T041 and T042 are close on the map. The reviewer checks photographs and location notes and finds two separate trees. Both records remain, with improved descriptions to prevent the same uncertainty later.

Scope and limits

This is a manual review aid, not an automatic duplicate-detection or deletion function.

Use the worksheet

The download contains the prompts and checks above with space for your project notes. It is a plain text document you can edit in a text editor or copy into your project brief. It contains no client information and does not run calculations, import records or change an account.
