Information to record
Use these prompts to agree the record for your project. Keep the answers and their source references together; leave an unknown value explicit rather than filling it with an assumption.
- Tree and date
- Identify the asset and when the photo was taken.
- View
- Describe the side, area or context shown.
- Feature
- State what the reader should look for.
- Evidence ID
- Connect the caption to the report reference.
- Annotation note
- Explain any mark added to the image.
Checks for this task
- Check the caption describes the correct photograph.
- Avoid implying a diagnosis or outcome that the image alone cannot establish.
- Review captions at the final exported size.
A worked example
Illustrative example, not a client case: Caption P7 identifies T032, the visit date and a view from the southern path. It refers to observation O2 and explains the highlighted area without using the highlight itself as a professional conclusion.
Scope and limits
Captions explain evidence; they do not replace inspection or the report’s assessment and reasoning.
Use the worksheet
The download contains the prompts and checks above with space for your project notes. It is a plain text document you can edit in a text editor or copy into your project brief. It contains no client information and does not run calculations, import records or change an account.
