Information to record
Use these prompts to agree the record for your project. Keep the answers and their source references together; leave an unknown value explicit rather than filling it with an assumption.
- Revision ID
- Identify the working or issued version.
- Change date
- Record when the update was made.
- Affected records
- List tree IDs or project sections.
- Change reason
- Distinguish correction, new visit and formatting.
- Issue reference
- Identify which files were circulated.
Checks for this task
- Retain a copy of each issued dataset.
- Do not rely on a file modification time as the only change explanation.
- Check the replacement issue identifies which version it supersedes.
A worked example
Illustrative example, not a client case: Revision 03 adds records from a repeat visit and corrects one caption reference. The history lists both change types, affected tree IDs and the files issued to the client.
Scope and limits
The worksheet is an administrative log; it does not provide automatic version control inside any application.
Use the worksheet
The download contains the prompts and checks above with space for your project notes. It is a plain text document you can edit in a text editor or copy into your project brief. It contains no client information and does not run calculations, import records or change an account.
