Information to record

Use these prompts to agree the record for your project. Keep the answers and their source references together; leave an unknown value explicit rather than filling it with an assumption.

Source column
Use the exact heading from the original file.
Destination field
Identify the intended receiving field.
Meaning and unit
Explain the source value’s definition.
Transformation
Document any approved conversion or formatting.
Unmapped information
List fields needing another agreed treatment.

Checks for this task

  1. Keep tree IDs as identifiers rather than incidental row numbers.
  2. Check units and meanings before moving numeric values.
  3. Test a sample and compare it back to the original dataset.

A worked example

Illustrative example, not a client case: The source column “height_est_m” maps to the height field with its estimate note retained. A photograph reference has no direct destination field, so the team agrees a separate linked evidence list.

Scope and limits

A mapping worksheet does not establish that Canopy or another system imports every listed field.

Use the worksheet

The download contains the prompts and checks above with space for your project notes. It is a plain text document you can edit in a text editor or copy into your project brief. It contains no client information and does not run calculations, import records or change an account.
