Information to record
Use these prompts to agree the record for your project. Keep the answers and their source references together; leave an unknown value explicit rather than filling it with an assumption.
- Source inventory
- Identify the dataset, version and evidence set.
- Destination requirements
- List the supported fields and formats.
- ID translation
- Document any approved identifier relationship.
- Pilot scope
- Choose representative test records.
- Acceptance record
- State checks, exceptions and the responsible reviewer.
Checks for this task
- Keep the original dataset and its issued outputs retrievable.
- Resolve unsupported fields before the full transfer.
- Compare totals, sample IDs, units and evidence references after migration.
A worked example
Illustrative example, not a client case: A team tests ten representative trees, retaining source IDs and separate photo references. An unsupported column is handed over separately. The reviewer signs off the agreed checks before the larger transfer proceeds.
Scope and limits
No particular application’s import coverage is guaranteed; use its current supported workflow and test results.
Use the worksheet
The download contains the prompts and checks above with space for your project notes. It is a plain text document you can edit in a text editor or copy into your project brief. It contains no client information and does not run calculations, import records or change an account.
