Use the agreed recommendations as the starting point
Identify the report or advice version and the trees it covers. Record any timing supplied by the practitioner accurately. Do not infer an inspection interval or work deadline from a generic spreadsheet template. Where advice is unclear, ask for clarification before arranging the programme.
Separate planning dates from assessment advice
A proposed booking date describes an arrangement. A review date or recommended timeframe may have a different purpose. Label them separately so a recipient can understand which came from the advice and which was agreed by the property team. Record who made an arrangement and when it changed.
- Tree and action IDs, with a source advice reference.
- Recommended timing as stated in the advice.
- Responsible contact and current decision.
- Planned work date and access arrangements.
- Status, completion evidence and remaining questions.
- Any follow-up or review separately agreed.
A scheduling example
Illustrative record: The property manager lists action A03 against T006, references the issued recommendation and records that contractor availability is being confirmed. The planned visit date is added when agreed. The original recommendation remains unchanged, and an outstanding clarification is recorded rather than hidden by a “scheduled” label.
Review changes and dependencies
Check whether access, permissions, related works or further information affect the arrangements. If relevant circumstances change, discuss whether the advice needs review. A schedule is a coordination record; it does not establish that a tree will remain safe until a particular date.
Close the loop after the work
Keep completion information alongside the action and identify who has reviewed it. Preserve the dated schedule issued to the team, then make later updates traceable. This helps the next manager distinguish outstanding work from completed or superseded items.
Use the action register template, completion evidence guide and Sorbus management advice.
