Download a blank action register
Start with the issued recommendation
Identify the source report or advice by its date and version. Give each action a separate reference and retain the tree ID used in the map and schedule. If a recommendation covers several trees, state that coverage explicitly. Copy the reference carefully so the person arranging work can find the original wording and any supporting photographs.
Separate the recommendation from the decision
Record the recommended action, the property manager's decision and the work status in separate fields. A recommendation may still be awaiting a decision or further information. A booking does not mean that work is complete. Keep the original advice intact when adding later updates so the sequence remains understandable.
Useful columns for an action register
- Action ID, tree ID and location.
- Source advice reference and date.
- Recommended action and any stated priority or timing.
- Decision, responsible contact and agreed next step.
- Status and date of the last update.
- Completion evidence and review notes.
A worked example
Illustrative record: A014 relates to T007, beside the western path. It references the issued report's recommendation. The property manager records “awaiting contractor scope” as the current status, names the person coordinating the next step and adds an update date. When work is completed, a separate completion note links the relevant evidence. No priority or due date is invented where the advice has not supplied one.
Use the download as a working record
The CSV contains headings only. Open it in a spreadsheet, add one row per action and adapt the fields to the project. It does not calculate risk, create reminders or import automatically into Canopy. Where priorities or review dates are used, retain their meaning from the agreed advice rather than applying a generic label.
Review open items with the responsible person
Check what remains undecided, what is arranged and which actions require clarification. If the tree or circumstances change, record that change and discuss whether updated advice is needed. Keep an issued copy of the register with its date when sharing it with others.
