Information to record
Use these prompts to agree the record for your project. Keep the answers and their source references together; leave an unknown value explicit rather than filling it with an assumption.
- Purpose
- Explain the decision and intended users.
- Coverage
- Define the included sites, trees and exclusions.
- Record requirements
- List fields, units, location and evidence needs.
- Deliverables
- State formats, review stages and handover expectations.
- Acceptance checks
- Identify how the agreed output will be reviewed.
Checks for this task
- Give each prospective supplier the same current brief.
- Avoid specifying an unsupported export or accuracy requirement without discussion.
- Separate surveying and assessment tasks where their scope differs.
A worked example
Illustrative example, not a client case: A facilities team requests a mapped register and photograph references for defined grounds. The brief asks suppliers to explain the proposed location method and review process instead of assuming all offers are equivalent.
Scope and limits
This is a scoping aid, not procurement law advice, a tender contract or a supplier accreditation claim.
Use the worksheet
The download contains the prompts and checks above with space for your project notes. It is a plain text document you can edit in a text editor or copy into your project brief. It contains no client information and does not run calculations, import records or change an account.
