Information to record

Use these prompts to agree the record for your project. Keep the answers and their source references together; leave an unknown value explicit rather than filling it with an assumption.

Monitoring scope
Identify the commissioned checks and source advice.
Visit details
Record date, site stage and responsible observer.
Evidence
Link photographs and notes to the relevant tree or area.
Variation
Describe differences from the issued arrangement.
Follow-up
Record the responsible person and response status.

Checks for this task

  1. Keep site observations separate from unreviewed conclusions.
  2. Escalate changes through the agreed project contact.
  3. Retain earlier visit records when adding a later response.

A worked example

Illustrative example, not a client case: A monitoring visit records a changed access arrangement near a retained tree. The note identifies the plan reference, dates the photographs and records the question sent to the responsible adviser, rather than silently revising the protection plan.

Scope and limits

Monitoring records do not automatically certify compliance or replace the adviser’s agreed inspection and reporting scope.

Use the worksheet

The download contains the prompts and checks above with space for your project notes. It is a plain text document you can edit in a text editor or copy into your project brief. It contains no client information and does not run calculations, import records or change an account.
